Receptionist

Responsibilities of this position include greeting visitors, answering and screening incoming calls for all team members companywide among other various duties as directed by Executive Assistant.

Operate multi-line switchboard, answering, screening and directing calls to the appropriate team member.
Prepare messages as directed.
Greet visitors in a professional and friendly manner.
Open lobby and common areas (including unlocking doors and turning on lights and equipment, making coffee).
Be aware of the professional appearance of the grounds and office area, including unsightly clutter, boxes, trash in kitchen area, bathrooms, offices, and conference room.
Be aware when assistance is needed to remove trash or for general repair.
Approval of Daily Office Depot Ordering and tracking facility supply budgets via excel spreadsheet.
Maintain conference room schedule.
Name Badge processing
Distribute incoming faxes
Fax credit card statements
Assist with set up and clean up for office events, luncheons, meetings etc.
Distribute incoming mail to appropriate personnel in a timely manner.
Maintain equipment such as copier, fax machine, postage meter
Distribute and track library books via excel spreadsheet
Organize and maintain the common work station area.
Maintain company directory and org chart, distribute monthly
Assist with mailings and special projects.
Ensure inter-office envelopes are re-distributed out to sites.
Locking and arming the building at the close of the business day.
Other duties as assigned.
Qualifications:
Qualifications:
High school Diploma or GED.
1 + year customer service and multi-line switchboard experience.
Excellent phone etiquette, communication, and customer service skills.
Punctual and dependable.
Ability to work independently.
Working knowledge of Microsoft Office Suite: Excel spreadsheets with formulas, Outlook email system, Word, Power Point and Adobe.
Ability to multi-task.
Excellent organizational and time management skills.
Maintain confidentiality.
Ability to adapt to changing priorities.
Detail oriented.
Ability to lift 20 lbs.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
